Case study

DriveRent Baku: booking, handover photo, and contract on one card

Expanded case from an on-site customer review. Operational details are descriptive; the company name appears in the published review.

  • DriveRent Baku
  • Operations lead — Rashad Mammadov
  • ~25 vehicles

Problem

  • Bookings lived in Excel, handover photos in WhatsApp, contracts in a separate folder.
  • Morning checks meant opening three sources; answers about the same car disagreed.
  • Extension requests got lost in chat; the calendar lagged.

Implementation

  • Fleet list and active bookings moved into the Triptoco panel.
  • Handover protocol attached to the reservation card (media + mileage).
  • Contract templates joined the same flow; Google Drive folders per booking.

Results

  • Morning occupancy check shortened by ~10 minutes per team estimate.
  • Operators open booking, photo, and contract from one reservation card.
  • Fewer “it looked free in Excel” customer embarrassments.
Reservations, handover photos, and contracts finally live in one place - our desk stopped jumping between WhatsApp and spreadsheets.
